The framework

Write the rule before you need to enforce it

Cancellation, no-show, and refund policies only protect you if they exist before the incident. Adopt a basic version on day one and refine later.

Keep the language plain

Clients follow policies they can read. Skip legalese; state the notice window, the fee, and how to reach you.

Consent is per-service, not per-client

A signed facial consent doesn't cover peels, dermaplaning, or device work. Match the consent form to the actual service scope.

Intake protects your license, not just the appointment

A clear intake surfaces medications, allergies, and recent procedures so you aren't reacting on the table. Treat it like a clinical record.

Who this hub is for

Solo estheticians, booth renters, and small spa owners who need a clear set of cancellation, no-show, refund, consent, and intake documents. The templates below are plain-language defaults you can copy today, then customize when you're ready to make them yours.

Policies are part of your pricing math

The price you set in the pricing calculator and the bookings you assume in the booth rent calculator only hold if appointment time is actually captured. Cancellation and no-show policies are what convert a "scheduled appointment" into "real revenue." Without them, missed appointments come straight off your hourly profit.

Consent and intake forms protect a different number: the cost of a reaction or a complaint. Both can wipe out a month of margin. Run the cost templates and run them consistently.

Frequently asked questions

What policies do I actually need as a solo esthetician?

Cancellation, late arrival/no-show, and a basic refund stance cover the day-to-day. Add facial consent and a new client intake form, and you're at the practical minimum most boards and platforms expect.

How strict should my cancellation policy be?

24 hours of notice with a fee of 25–50% of the service price is the most common range. If your book is consistently full, move to 48 hours. If you're newer, start with 24 and enforce it.

Do I need consent for every facial?

A signed general consent at the first appointment is the common standard. Get a fresh, service-specific consent when adding peels, dermaplaning, microcurrent, or other higher-risk services.

Can I use a single intake form for every service?

Yes for general history and goals. For peels, waxing, or device-based work, ask supplemental questions or attach a service-specific addendum so contraindications aren't buried.

Are these templates legal documents?

No. They are plain-language business templates for general use. Adjust them to your services, state board rules, and booking platform, and have a licensed professional review if you're unsure.
